HRToolbox is a web-based expatriate management tool. It provides administrators with an easy to use system that helps them manage the complexities of expatriate compensation and international assignments.While information is the cornerstone of our ability to provide superior service, our most important asset is our clients’ trust. EU-U.S. Privacy Shield Framework

HRToolbox complies with the EU-U.S. Privacy Shield Framework as set forth by the U.S. Department of Commerce regarding the collection, use, and retention of personal information transferred from the European Union to the United States. HRToolbox has certified to the Department of Commerce that it adheres to the Privacy Shield Principles. If there is any conflict between the terms in this privacy policy and the Privacy Shield Principles, the Privacy Shield Principles shall govern. HRToolbox has further committed to cooperate with the panel established by the EU data protection authorities (DPAs) with regard to unresolved Privacy Shield complaints concerning human resources data transferred from the EU in the context of the employment relationship.  HRToolbox, Inc. is subject to the investigatory and enforcement powers of the Federal Trade Commission (FTC).

If a complaint cannot be satisfied by any other means, under certain conditions, individuals might have the right to invoke binding arbitration. Please see the Privacy Shield Principles for more information.

HRToolbox may occasionally use a third-party to assist in providing services to our clients or handling an internal business needs. In the context of an onward transfer, HRToolbox has responsibility for the processing of personal information it receives under the Privacy Shield and subsequently transfers to a third party acting as an agent on its behalf. HRToolbox shall remain liable under the Principles if its agent processes such personal information in a manner inconsistent with the Principles, unless we prove that it is not responsible for the event giving rise to the damage.

HRToolbox will notify individuals and provide an opportunity to choose to “opt out” or “opt in” if HRToolbox intends to disclose personal information to a third party to be used for a purpose that is materially different from the purpose for which it was originally collected or subsequently authorized by the individual.

Right to Access Individual Information

Under the Privacy Shield Principles, individuals have the right to access personal information HRToolbox holds and be able to correct, amend, or delete that information where it is inaccurate, or has been processed in violation of the Principles, except where the burden or expense of providing access would be disproportionate to the risks to the individual’s privacy in the case in question, or where the rights of persons other than the individual would be violated. If you
would like to access such data, please reach out to HRToolbox and we will work with you, and, if applicable, the Customer who has submitted the data to us.

The following is our promise to each of our clients:

  • We will safeguard, according to strict standards
    of security and confidentiality, any information our clients share with us.
  • We will keep to a minimum the collection and use of client information we require
    to deliver superior service to our clients, which includes advising our clients
    about our products, services and other opportunities, and administering our business.
  • We will permit only authorized employees, who are trained in the proper handling
    of client information, to have access to that information. Employees who
    violate our Privacy Promise will be subject to our normal disciplinary process.
  • We will not reveal client information to any external organization unless we have
    been authorized by the client, or in response to lawful requests by public authorities, including
    to meet national security or law enforcement requirements.
  • We will not use or share, internally or externally, personally identifiable
    information for any purpose. We will continuously assess ourselves to ensure that
    client privacy is respected. We will conduct our business in a manner that fulfills
    our Privacy Promise in the many nations in which we do business.

The HRToolbox® service uses the latest technologies to secure the communications
between a web browser and our web servers. The technologies used involve a combination of Secure Socket Layers (SSL) and certificates. SSL is used to encrypt any information transferred from a web browser to a web server and vice-versa. is part of the Secure Site Network certified by  Lets’ Encrypt Organization, a part of the Internet Security Research Group (ISRG).
